Pubs and hotels should plan backup connectivity around the tasks that must continue during an outage. A second connection, a compatible failover gateway and tested traffic priorities can reduce reliance on one broadband line. Payment systems, bookings, staff services, guest Wi-Fi and internet-delivered sport need different checks. A backup cannot guarantee uninterrupted service.

A quiet midweek outage and a lost connection during a full bar or busy check-in can have very different consequences. Staff may be trying to take payments, check bookings and answer guests at the same time. The useful plan states what receives priority when capacity is limited and what staff should do if an application needs reconnecting.

Find out what actually depends on the internet

Walk through a normal service with the manager and relevant system providers. Card terminals and EPOS are not always the same system, and a terminal may use the venue’s Ethernet, Wi-Fi or its own mobile connection. Do not assume that one working device proves every payment path is covered.

Booking platforms, cloud tills, staff systems, phones and guest services may each have different offline behaviour. Confirm it with the supplier and record what can continue, what queues for later and what stops. This guide does not assume that any particular hospitality product supports offline operation.

Payments and EPOS
The actual connection path, provider requirements and an agreed way to test transactions or provider diagnostics on backup.

Access to essential cloud functions, sign-in, VPN or IP restrictions and who staff contact if reconnection fails.

Live sport: check the delivery path first

Some television services arrive through an aerial or satellite system; others rely on internet delivery. A WAN backup helps only the services that use that connection. It will not repair a failed screen, HDMI distribution path, receiver or satellite feed.

For internet-delivered sport, test the actual receivers and relevant commercial service before a major broadcast. Confirm the subscription permits the intended use with the provider. A consumer streaming test on a phone does not establish compatibility or entitlement for the venue’s system.

Account for simultaneous demand: several streams, guest phones and normal business traffic can coincide. If the backup cannot support the intended load, agree the priority with the venue. Keeping all screens streaming while preserving payments and bookings may require more capacity than a basic contingency connection can provide.

Primary WAN, backup WAN and automatic failover

The primary WAN is the normal internet path. The backup WAN is an alternative path available to a gateway that supports the intended arrangement. Automatic failover uses configured health checks to detect a problem and move eligible traffic to the backup. Simply connecting two routers does not create that behaviour.

Detection and recovery take time. Existing sessions may need to reconnect when the public internet path changes, and some systems need staff action. Test payment equipment, VPNs, receivers and booking applications rather than assuming that “automatic” means invisible.

Choose a backup with a useful failure path

4G or 5G

Mobile backup can be proportionate where measured reception and capacity are suitable. Test at trading times, check the proposed router position and antenna options, and verify the service’s data and addressing requirements. A crowded local area can behave differently on a match day. Starlink

Starlink can offer a different last-mile route where the site has suitable sky view, mounting and power. It still has its own service and equipment dependencies. A second fixed line

A second retail provider may still use the same underlying cable route, duct or access infrastructure. It may help with some service failures while remaining exposed to the same physical damage. Establish the diversity actually available before describing the two lines as independent.

A broadband backup does not cover every outage

If an access point, switch, gateway or local cable fails, changing WAN may leave the affected users disconnected. Both incoming services can also depend on the same building power. Assess shared equipment and an appropriately sized UPS where justified, including the incoming and backup equipment and the devices needed to carry essential traffic.

Prioritise business traffic on the backup

Separate guest access from business systems and decide what the backup is for. Suitable gateway rules can limit or exclude guest traffic and defer large downloads where supported. The exact configuration must allow the real payment and booking services, including their dependencies.

Prioritisation cannot create bandwidth. If all services must remain available, size and test the backup accordingly. If essential transactions take precedence over guest browsing or some screens, make that an explicit operating decision rather than a surprise during service.

Run a controlled outage test before the busy night

  1. Agree the test window. Have the manager, network owner and relevant system-provider support available.
  2. Check the backup independently. Confirm the subscription, equipment and incoming connection are working.
  3. Test primary failure. Include an appropriate upstream-failure test, not only a disconnected cable; a WAN port can remain linked when internet access has failed.
  4. Run real operating checks. Verify authorised payment tests, bookings, staff access and intended streams with representative guest load or restrictions.
  5. Restore and observe. Check failback, any session interruption and whether manual action is needed.
  6. Keep a short record. Note results, limits, staff actions, escalation contacts and the next agreed check.
